Position: Account Coordinator

Your job is to help your Account Executive succeed, by providing a trustworthy support role that is capable of contributing to strategic planning, administrating project details and effectively communicating with clients, co-workers, suppliers and most of all your Account Executive.

RESPONSIBILITIES:

  • Meetings with Account Executive
    • Daily News Meeting - Project Progress Report (Morning or end-of-day)
      • Status of each open project
      • What is the next step and when will it be completed?
      • Project quote vs. input hours, remaining hours until completion
      • Specific feedback

    • Project Kick-off Meeting - Provide input on marketing plan, including
      • How to best reach target markets
      • Ideas, taglines, images

    • Weekly one-on-one meeting

  • Managing project details
    • Open new project files using internal project management system and physical docket
    • Manage the project dockets
    • Set timeline to completion
    • Determine steps to completion (procedures, hours req’d)
    • Source the appropriate suppliers
    • Prepare and send RFQ’s
    • Review, approve and input related payables into internal project management system
    • Background research
     
  • Gathering project material as needed by Production dept
    • Concept/sketches
    • Ad copy
    • Images
    • Specifications
     
  • Interacting with Clients
    • Phone, email, in-person
    • Send / receive proofs – manage edits
    • Follow-up with clients (as per timeline)
     
  • Understanding Clients and Projects
    • Know what they do
    • Understand how their products work
    • Know their target markets
       
  • Reviewing artwork proofs
  • Writing ad copy
  • Assisting with Photo / Video shoots
  •  
  • Media
    • First point of contact for sales reps
    • Implement AE media plan
    • Book ads
    • Request material from production staff (resizes etc)
    • Send ad material
    • Receive invoices and tearsheets
    • Meet and review plan weekly with AE

SKILLS

  • Marketing education / experience
  • Strong organizational skills with attention to detail
  • Friendly communication persona (in email, phone and in-person)
  • Experience with desktop computer work tools (MS Office, email)
  • Artistic, creative nature
  • Working knowledge of Adobe Creative Suite an asset
  • Photography skills an asset
